Privacy Notice - Holistic Grief Coaching with Louise Lawrie

1. Who I Am

Grieve-Breathe-Live is operated by Louise Lawrie, a sole trader based in the United Kingdom.

This Privacy Notice applies to my one-to-one grief coaching services, online membership, community spaces, live sessions and related digital resources.

For the purposes of UK data protection law, Louise Lawrie is the Data Controller of your personal information.

Grieve-Breathe-Live is registered with the Information Commissioners Office (ICO) as a data controller and is committed to handling personal information in accordance with UK data protection legislation.

2. What Information I Collect

I may collect and process the following personal information:

• Full name

• Address

• Email address

• Telephone number

• Information you share within coaching sessions

• Completed pre-work forms

• Brief structured session notes

•  Membership and account information relating to Grieve • Breathe • Live

• Information you choose to share within the private community, including posts, comments and questions

• Information shared during live membership sessions

• Images, audio or video where you choose to participate in a recorded live session

•  Communications you send to me in connection with coaching or membership support

Some information you choose to share may include sensitive or health-related information. Please only share information that you feel comfortable providing.

I do not collect detailed medical records or unnecessary clinical information.

Payment information is processed through the relevant payment/platform provider. I do not routinely receive or store your full payment card details.

3. Why I Collect Your Information

Your information is collected for the purposes of:

• Providing grief coaching services

• Providing and managing access to the Grieve • Breathe • Live membership

• Communicating with you about coaching, membership, live sessions, resources and relevant service updates

• Enabling participation in the private online community

• Providing access to live sessions and member-only recordings

• Responding to questions, enquiries or support requests

• Maintaining appropriate professional and business records

• Moderating the community and maintaining a safe and respectful environment

• Meeting safeguarding responsibilities where necessary

• Complying with legal, regulatory and insurance obligations

4. Lawful Basis for Processing

Under UK GDPR, I process your personal data on the following lawful bases:

• Contractual necessity - to provide agreed coaching services and/or membership access and support

• Legitimate interests - to operate Grieve-Breathe-Live safely, effectively and responsibly, including community moderation and service administration

• Explicit consent - where health-related or sensitive information is shared voluntarily

You may withdraw consent at any time, subject to legal or safeguarding limitations.

5. How Your Information Is Stored

Personal information is stored securely using password-protected digital systems and trusted third-party platforms used to deliver coaching and membership services.

This may include platforms used for community access, live sessions, resource delivery, communication and payment processing.

Reasonable technical and organisational measures are in place to protect personal data from loss, misuse, unauthorised access, disclosure or alteration.

Paper records are not routinely maintained.

6. How Long Your Information Is Retained

Personal information is kept only for as long as reasonably necessary for the purpose it was collected, including legal, professional, insurance and safeguarding requirements.

• Coaching records will typically be retained for up to five (5) years after the end of the coaching relationship.
• Membership and account information will be retained while your membership is active and for a reasonable period afterwards where needed for administrative, legal or financial record-keeping purposes.
• Community posts, comments and questions may remain visible within the private membership space unless removed by you, by me for moderation purposes, or where the platform removes them.
• Live session recordings will only be retained for as long as they remain useful as member resources and may be deleted or replaced over time.

Information will be securely deleted or anonymised when it is no longer required.

7. Sharing of Information

Your personal information will not be shared with third parties without your consent except where this is necessary to provide the service, meet legal obligations, or protect someone from serious harm.

This may include sharing information with:

• Trusted third-party platforms used to provide the Grieve • Breathe • Live membership, community, live sessions, resource delivery or payment processing
• Professional advisers, insurers or regulators where reasonably necessary
• Emergency services or relevant safeguarding authorities where there is a serious risk of harm or a legal duty to act

Where third-party platforms process personal data on my behalf, they are expected to handle that information in accordance with applicable data protection law.

I do not sell, rent or distribute your personal data for marketing purposes.

Information you choose to post within the private membership community may be visible to other members of that community.

8. Your Rights Under UK GDPR

Depending on the circumstances, you may have the right to:

• Request access to the personal data I hold about you
• Request correction of inaccurate or incomplete information
• Request deletion of your personal data where legally permissible
• Request restriction of how your personal data is used

9. Online Platforms & Communication

Grieve • Breathe • Live uses secure third-party digital platforms to provide coaching, membership access, community interaction, live sessions, resources and communication.

This may include:

• Video platforms used for coaching or live membership sessions
• Skool, used to host the Grieve • Breathe • Live membership, community, classroom resources and events
• Business WhatsApp for relevant one-to-one communication
• Notion for privately shared coaching resources and reflections
• Payment providers used to process membership or coaching payments

Where third-party platforms are used, their own privacy policies and terms will also apply.

You are responsible for ensuring your own device, account details and environment are appropriately private and secure.

Please be mindful that anything you choose to post or share within the private membership community may be visible to other members of that community.

Live session recordings: Some membership live sessions may be recorded and made available within the private Grieve • Breathe • Live membership. Where a session is being recorded, this will be made clear to participants. You are not required to speak, turn on your camera or share personal information, and you should only contribute information you are comfortable having included in a member-only recording.

10. Updates to This Notice

This Privacy Notice may be updated periodically to reflect changes to my services, membership, legal requirements or the platforms I use.
